The Northern Ireland Policing Board (NIPB) has installed a new electronic document and records management system to enable it to manage freedom of information (FOI) and other enquiries more effectively.

The Northern Ireland Policing Board (NIPB) has installed a new electronic document and records management system to enable it to manage freedom of information (FOI) and other enquiries more effectively.

NIPB is using Tower Software’s TRIM Context 5 system at its Belfast site. The system is also being used to address the requirements in Modernising Government initiatives and to enhance its records management.

The NIPB is an independent public body made up of 19 political and independent members, established to oversee the workings of the police service in the province.

Mario Madden, NIPB compliance manager, said, “The procurement process has proved to be very successful for the NIPB, from matching the system with our Corporate File Plan, through to staff training in TRIM. The functionality that the system offers has been very beneficial to the NIPB.

TRIM Context is being used for storage to filing, and has reduced the incidence of staff storing documents, e-mail and other information in personal areas.

The centralised storage approach aids the organisation’s ability to deal with FOI enquiries, as staff do not have to jump in and out of different systems to retrieve data.
