The University of Greenwich has reduced the time it takes to process student tutorial appointments from three weeks to a matter of seconds through automation software.
At the same time it has reduced the number of mistakes and the need to repeat processes.
The university’s business school, which has 6,000 students, is using software and support from Ellucian, previously SunGard HE, to replace a paper-based process and consolidate three systems into one, reducing the time taken for a student to select a tutorial slot to receiving confirmation to seconds from weeks.
In the past, paper-based information was keyed into three systems: to register on courses; to manage schedules and timetabling. Staff in administration would initially take forms filled in by students
This was time consuming and error prone.
Paul Butler, head of information systems at the University of Greenwich, said the registration process had always been troublesome: “The students’ personal timetables were not accurate, and it caused confusion for them and for the business school. There was no obvious way to enable workflow and integration among the three systems.”
The university implemented Ellucian’s Infinity Process Platform (IPP) to fully automate data transfer between all systems, resulting in near real-time processing of student tutorial registering activities.
Following the project at the business school, the software will be rolled out across the rest of the university this year.
Increased competition and the need to cut costs are driving universities to replace archaic processes in the back-office with software that automates key processes.
