
Construction company Cruden Group has achieved savings
of at least £10,000 a year by implementingdocument management
software.
Cruden shortlisted two products after reviewing document
management software from 13 other suppliers and put both on trial
by the company's users.
"Our staff chose Alchemy from
Avanquest because of its ease of use, even though both products
met our needs in terms of flexibility,
workflow functionality and integrating with our existing
Metastorm business process management system," said Alan Sanderson,
ICT manager at Cruden.
He said by implementing the software, the company had improved
security of documents, eliminated "grotty and grubby files", and
saved £10,000 a year on paper document storage.
"We have not yet quantified the cost savings in terms of
printing and document distribution, but expect to get a complete
return on investment within two to three years," said
Sanderson.
Staff at the Cruden head office in Warrington scan all inbound
documents, such as job sheets and supplier invoices, making them
available electronically to the Warrington and Salford offices as
well as all construction sites.
"Documents can be viewed at construction sites within seconds of
sending the request instead of two days," said Sanderson. "And it
is not costing us £15 per request and 50p for each box of documents
delivered to and from storage."
He said by improving the efficiency of many document related
processes has enabled the company to free up employees to take on
other administrative roles.
