The Department for Constitutional Affairs is implementing a
£15m document management system to enable its 4,000 users to access
more than 40 million pages of information it expects to handle over
the next five years.
The DCA chose the enterprise-wide electronic document and records
management Trim Context system from Tower Software after a trial
among 50 users that began in November 2002.
Manager of the project Celia Wood said, "The way we piloted this
technology ensured that our business processes were absolutely
correct and that we achieved a detailed understanding of the full
range of benefits to be gained from it.
"Early signs from the pilot users show that the system will allow
us to operate more efficiently and cost-effectively."
Tony Sumpster, managing director at Tower, said, "The system
selected had to be proven and low-risk, and this system is capable
of handling every document the DCA creates, from e-mail to Word
documents, and images to paper."
About 10% of DCA staff are already using the technology, and the
full implementation will be completed over the next 12 to 18
months, said the DCA.
The Tower system was installed by Unisys and will be supported and
managed by DCA IT services company Liberata.
The Department of Trade & Industry is using a similar Tower
system for more than 5,000 users.
